Every trade show and convention publishes an exhibitor services manual that contains the specific freight handling requirements for that event - the advance warehouse address and deadline, the direct-to-show floor delivery dates and times, the show’s official general service contractor, carrier check-in procedures for move-out, and any restrictions on freight type or size that apply to the show floor.

Obtain this manual from your show contact or the event’s exhibitor services portal as soon as you confirm your booth registration. Provide the relevant freight deadlines and GSC contact information to your SAC coordinator at booking. SAC builds your shipment timeline around these show-specific deadlines, and having the accurate dates and addresses at the start of the planning process is the foundation of a successful show freight logistics plan.

Before your freight is picked up, weigh and measure every piece in the shipment - actual weight and all three dimensions (length, width, height). This information is required for accurate freight rating, carrier selection, and any GSC handling fee estimates. For palletized freight, include the pallet weight and measure to the top of the stacked load. For crated exhibit components, measure the crate’s exterior dimensions.

Trade show freight is frequently rated on dimensional weight rather than actual weight if the shipment is large and relatively light. Knowing your freight’s dimensional weight before booking helps you understand how it will be rated and whether any repackaging or restacking could reduce the rated weight. Your SAC coordinator can walk you through the dimensional weight calculation for your specific freight before confirming the quote.

Every piece of freight in your trade show shipment must be clearly labeled with the show name, show dates, venue name and address, your company name, your booth number, and the total number of pieces in the shipment (e.g., piece 1 of 4, piece 2 of 4). Labels should be applied to at least two sides of every crate, pallet, or case. Show freight that arrives at the advance warehouse without complete labeling can be misrouted or delayed in reaching your booth.

Use durable, weather-resistant labels or stencil the information directly onto crates and cases. Paper labels that peel or detach during transit create freight identification problems at the advance warehouse and on the show floor. For high-value or fragile freight, also apply fragile and orientation (this side up) markings clearly on all sides. Proper labeling is the single most effective step in preventing show freight from being mishandled or delayed after it leaves your facility.

Trade show freight is handled multiple times - by the carrier, by the advance warehouse, and by the GSC’s show floor crew - before it reaches your booth. Every piece that can be crated or palletized should be. Loose, uncrated exhibit components are subject to damage during the handling chain and may be refused at the advance warehouse if they do not meet the show’s freight acceptance standards.

For delicate exhibit displays, custom graphic panels, AV equipment, and product demo units, invest in purpose-built cases and crates that are rated for repeated trade show use. Reusable exhibit cases pay for themselves quickly for frequent exhibitors by reducing damage claims and replacement costs. For one-time shows, quality cardboard crating with foam interior protection is adequate for most standard display components. Ask your SAC coordinator whether your freight packaging is appropriate for the show’s handling environment.

The advance warehouse deadline is the hard cutoff for freight that must arrive before the show for GSC handling and booth delivery. Freight that misses this deadline may still be accepted as a direct-to-show floor shipment during the official move-in window, but this requires precise carrier timing and is a higher-risk option if the freight is complex or heavy.

Build your shipping timeline backward from the advance warehouse deadline, not from the show open date. Allow transit time for the carrier route plus a buffer of 1 to 2 days to account for traffic, weather, or minor carrier delays. Cutting the advance warehouse deadline too close removes all buffer and turns any minor delay into a missed deadline. SAC’s coordinators build this buffer into every trade show shipment schedule as standard practice.

Move-out carrier check-in at most major trade shows happens during or immediately after the show floor closes, and carriers must be checked in within a specific window to receive freight during the official move-out. Carriers that are not checked in on time are placed at the back of the priority queue, which can mean waiting many hours for the freight to be released.

Arrange your outbound SAC carrier before the show opens, not during or after. Provide the show’s move-out carrier check-in time and the freight pickup window to your SAC coordinator so the carrier can be dispatched to arrive on time. For shows with large move-outs involving hundreds of exhibitors, early check-in priority can mean the difference between freight that is on a truck within two hours of the show floor closing and freight that sits in the convention center for an additional day.

Before your freight leaves your facility, confirm your assigned booth number and hall location with the show’s exhibitor services team. Freight labeled with an incorrect booth number will be delivered to the wrong location on the show floor, and correcting a misdelivery during move-in is time-consuming and stressful when setup time is limited.

For shows where booth assignments are made close to the event date, do not print booth-specific labels until the assignment is confirmed. Use a placeholder with your company name and hold space for the booth number on your label template. Once your booth number is confirmed, complete and apply the labels before the freight pickup date. This five-minute confirmation call before your freight ships prevents one of the most common and easily avoided show freight problems.
